Surf School Waivers and Check-In: From Booking to the Beach
A surf school's morning goes wrong at the waiver table: a queue of students on clipboards while the tide window closes. RidgeHQ puts waivers and check-in inside the booking, so the paperwork is done before anyone reaches the beach. Here is what works today and what is still on the roadmap.
Why the Waiver Table Slows the Surf Day
Surf lesson scheduling already moves with the tide and the swell. When the forecast pushes a beginner group from 9:00 to 11:00, the last thing an instructor needs is a stack of paper forms to re-sort. Paper waivers get lost, get signed by the parent but not the child, or get filed against the wrong lesson. Checking them by hand on a busy camp morning pulls staff away from fitting wetsuits and briefing the group.
A lot of surf school booking software treats waivers as a separate form tool or a paid add-on, which leaves you matching signatures to bookings yourself. In RidgeHQ, waivers are part of the platform and part of the booking.
Every Student Signs Before Checkout
Waiver requirements attach to products. When a lesson, a group class, or a multi-day camp requires a waiver, every participant on the booking completes it with a typed e-signature before checkout can be submitted. A family booking four places produces four signed records, one per surfer, not one signature from whoever paid.
Each signature is stored with the exact text the participant agreed to, their answers, a content hash, and the signing device. If you later edit the template, earlier signatures still show exactly what that student signed.
Questions That Fit the Student
A first-timer on a taster lesson and an intermediate surfer on a coaching session should not answer the same form. Waiver templates support conditional questions: a follow-up only appears when an earlier answer calls for it, such as a swimming-confidence question for a student who says they have never surfed. Only the answers to questions a student actually saw are stored.
The same mechanism carries a health questionnaire. Medical answers need a separate health-data consent, are visible only to senior roles, and every read of them is audited.
Camps, Returning Students, and Renewals
Surf camps, and regulars who book every week, make one-signature-per-booking tedious. A waiver template can carry a validity window, so a signature stays current for a set number of months and then shows as expiring or expired. When a student needs to sign or renew outside the booking flow, staff can capture it at the desk or email a single-use renewal link that expires after seven days.
Check-In on the Day
Check-in is live. Staff check students in from the session roster in the Event Planner, the same view that carries the tide and swell context for the session. Guests can also check in everyone on their confirmed booking by scanning a per-booking QR code. RidgeHQ records the arrival time and whether staff or the guest did the check-in, so instructors can see who is on the beach before they start the warm-up.
The roster, the waiver records, and the board and wetsuit sizes stored on each profile all read from the same booking, so the front desk is not reconciling three lists at 8:45.
On the Roadmap: QR-Linked Waiver Signing
One piece is planned but not yet built: QR-linked waiver signing. The aim is to let a student scan a QR code for their booking and session and sign the waiver on their own phone at the surf shop or on the sand, with the signature landing directly against the right session.
