Dive Center Software: One Schedule for Trips, Gear, and Divers
A dive trip is not a calendar slot. It is a boat, a pilot, a site, a group of certified divers and the kit they need. Software that only books the slot leaves the rest to spreadsheets.
What a Dive Trip Has to Connect
For one morning departure you need a trip with a pilot and a dive site, a list of who is on the boat with their certification level and kit sizes, signed waivers with medical forms, and the gear that has to be ready. When those live in different tools, the boat manifest is rebuilt by hand each day.
One Schedule, Built From the Bookings
RidgeHQ's Event Planner schedules by activity, staff and trip. Boat manifests are generated from confirmed divers, carrying their certification and kit sizes, so the list on the boat is the list of bookings. Overlapping instructor and pilot assignments are refused. The planner can also show per-activity weather, tide or wind context for the spot.
Gear by Unit and Size
Rental gear is tracked by unit and size, and a maintenance record removes a unit from availability until it returns. Rooms and accommodation sit in the same system, so courses that include a stay are not managed in a separate calendar.
Orders, Payments and Records
Online bookings and the front-desk POS share one order model, with deposits, promo codes and 0% platform commission on direct bookings. Paid orders are never edited in place: a change is recorded as a credit note. Partner and agent bookings are recorded with their commission for settlement.
Divers and Compliance
Each customer has one record with certifications (level and verifying staff), equipment sizes, gear needs, waivers and order history. Waivers are per participant with a typed e-signature, and course completion produces a certification record. Seven server-enforced staff roles control who can see and change what.
An Assistant on Top
The AI Copilot answers questions about today's sessions, trips, waivers and gear needs, and can create or reschedule sessions after staff confirm. It works within the user's role. Refunds and booking cancellations always need confirmation and have no auto-undo.
Key takeaways
- Trips, pilots, dive sites, manifests, gear and rooms run from one schedule.
- Manifests come from confirmed divers, with certification level and kit sizes.
- Bookings and POS share one order model, and paid orders change by credit note.
- Waivers, certifications and roles are part of the same system.
