Kitesurf School Booking System: Waivers, Kit, and Check-In in One Place
When the wind turns on, a kitesurf school has a short window to get students briefed, kitted, and on the water. Unsigned waivers and a hunt for the right kite size eat into it. RidgeHQ collects the paperwork and the sizing at booking, so the beach is for teaching. Here is what works today and what is still on the roadmap.
The Wind Window Doesn't Wait for Paperwork
Kite lessons run inside a wind window. When it opens, instructors need three answers fast: who is booked, whether each student has signed, and which kite and harness each one needs. In many schools those answers live in three places: the booking tool, a clipboard of waivers, and the gear board.
A kitesurf school online booking system should answer all three from the booking itself. That is the approach RidgeHQ takes.
Waivers and Weight, Collected at Booking
Waiver requirements attach to products. When a course or taster session requires a waiver, every participant completes it with a typed e-signature before checkout can be submitted, so a couple booking a beginner course produces two signed records, not one. Each signature is stored with the exact text signed, the answers, a content hash, and the signing device.
Waiver templates support conditional questions, so a student who reports previous kite or wing experience can be asked follow-ups that a complete beginner never sees. A health questionnaire can travel with the waiver, with a separate health-data consent and answers restricted to senior roles.
Students give their weight and sizes at booking, and those are stored on their profile, so a returning student does not fill them in again. A waiver validity window means a signature can stay current for a set number of months instead of being repeated every lesson.
Kit Tracked by Unit and Size
Kites, boards, harnesses, and helmets are tracked as individual units with sizes. With each student's weight on their profile, the instructor chooses the kite against the wind on the day from gear that is known to be available. The choice stays with the instructor; RidgeHQ does not pick the size for you. Gear logged for maintenance leaves availability until it is returned, so a kite with a damaged bladder is not promised to the next lesson.
Lessons and walk-in rental share the same gear records, so a board hired out at the counter is not also assigned to a class. This is the part generic booking tools miss, and the reason schools look for dedicated booking software for windsurfing and kitesurfing.
Check-In When the Wind Is On
Check-in is live. Staff check students in from the session roster in the Event Planner, beside the wind speed and direction for your spot and the limits you set for the activity. Guests can also check in everyone on their confirmed booking by scanning a per-booking QR code. RidgeHQ records the arrival time and who did the check-in.
If the wind drops or swings outside your limits, the session is flagged; you move or reschedule it in the planner and email everyone booked on it from the same screen.
On the Roadmap: QR-Linked Waiver Signing
QR-linked waiver signing is planned but not yet built. The aim is to let a student scan a QR code for their booking and session and sign on their own phone at the beach, with the signature landing directly against the right session.
Until then, students sign during booking checkout, by a single-use renewal link, or with staff capture at the desk. We will describe QR-linked signing as available only once it is built and tested. For more on how waiver evidence and health data are handled, see built-in waiver management.
Key takeaways
- Every student signs a waiver with a typed e-signature before checkout, with conditional and health questions where needed.
- Student weight and sizes are stored on the profile and reused, and kites and boards are tracked by unit, size, and service state.
- Staff roster check-in and guest QR self-check-in are live, alongside the wind forecast for the session.
- QR-linked waiver signing is on the roadmap and not yet available.
